Modifying the Default Mail Merge Templates

Each of the following pages contains one of the default mail merge templates provided by salesforce.com. We recommend that you use these default templates to create your own mail merge templates. Follow these instructions to successfully modify the templates for your organization:

1.     Identify the mail merge template you want to modify. Each page of this document contains a separate template.

2.     Highlight all of the text in your chosen template, and choose Edit | Copy.

3.     Create a blank document for your new template by pressing Ctrl+N.

4.     Then choose Edit | Paste to paste the text you copied in Step 2.

5.     In your new template, display the hidden mail merge codes by pressing Alt+F9.

Each of the mail merge fields should now appear as follows:

{ MERGEFIELD Contact_FullName \* MERGEFORMAT }

6.     Modify the template text just as you would in any other Word document.

7.     To change the mail merge fields, modify only the center portion of the mail merge codes. For example, you can change Contact_FullName to Account_Name. See below for information on the list of merge fields that salesforce.com recognizes.

Do NOT alter the { MERGEFIELD or  \* MERGEFORMAT } parts of the codes.

8.     If necessary, add additional mail merge fields. Remember that you can only use merge field names that salesforce.com recognizes.

    1. Place your cursor where you want to insert a merge field, and choose Insert | Field....
    2. In the dialog, select "Mail Merge" in the Categories column, and then select "MergeField" in the Field names column.
    3. In the text area, enter the name of the salesforce.com merge field after the "MERGEFIELD " text. For example: MERGEFIELD Account_Name Then click OK.

9.     After modifying the necessary text and mail merge fields, select File | Save to save the template to your hard drive.

10.  Upload your new mail merge template to salesforce.com.

a.      Choose My Setup at the top of any salesforce.com page, and click Email and Mail Merge Templates.

b.     Select the Manage your Document Mail Merge Templates link.

c.     Click Add New Template in the task bar and fill in the required fields to upload your template.
